Learn Word Templates, Fields, and Mail Merge Quality Control
Build a template that can be maintained
Use heading and paragraph styles instead of formatting every section manually. Set page layout, headers, footers, and section breaks intentionally. Fields can populate dates, page numbers, references, or other structured values, but document the source and expected behavior for fields that update.
Prepare mail-merge data carefully
Normalize column headings, check for blanks and duplicates, and confirm that names and addresses have the intended format. Use a small synthetic preview set first. Preview every field and inspect edge cases such as long names, missing optional values, and unexpected punctuation before creating a full batch.
Review generated output
Check page breaks, field results, recipients, filenames, and any personal information before distribution. Store outputs in the approved location and follow retention rules. A successful merge is not evidence that every recipient or field is correct.
Practice task
Create a fictional event-letter template from a synthetic contact list. Test blank organization names and unusually long names, then record the checks required before distribution.
